How We Built a Mobile App That Cut Report Writing From Hours to Minutes
We built a custom inspection app for a construction and industrial inspection company. Inspectors now finish reports on site in minutes instead of spending hours on them at night.

Construction and industrial inspectors spend the day on site photographing structural problems and documenting safety concerns. Afterward, most of them then spend the evening writing the report, going through hundreds of photos in a hotel room, matching each one to a field note, and typing it all into a formatted document.
The U.S. Bureau of Labor Statistics notes that many inspectors do their inspections during the day and write their reports in the evening. One 2026 industry estimate puts the average inspection report at 2-4 hours of work.
That was the situation at a construction and industrial inspection company when they came to us. Their inspectors were putting in about three more hours on reports after each day in the field. They spent more time writing reports than doing inspections, and reporting became the main limit on how much work the company could take on.
We built them a custom inspection app that works offline on site and produces a finished PDF in the company’s own report template at the end of each inspection. Reports that used to take hours now take minutes, and inspectors finish their work during the working day.
The Starting Point
Before the app, every inspection had two parts. The first was the site visit, where inspectors photographed the facility and wrote down what they found as they moved through it.
The second part started back at the hotel. Inspectors spent about three hours sorting the day’s photos, cross-referencing them against their field notes, and typing everything into the company’s report format by hand.
The report is what the company’s clients pay for, so it has to be accurate and look professional. The company wanted its inspectors to produce that report from the field instead of at the end of the night.
What We Built
We designed and built a mobile app for field inspections. The first requirement was that it work offline, since inspectors capture data inside industrial facilities and on active construction sites, and they needed the app to work whether or not they had a connection.
Inspectors now do the whole inspection in one app on their phone and no longer switch between a camera roll, a notebook, and a laptop.
How the Report Gets Written on Site
The app builds the report while the inspector works through the site. Inspectors photograph each part of the facility as they go and can annotate a photo on screen to mark exactly where the problem is. Each finding becomes an action item with a category and a priority.
When the inspection is finished, the inspector adds their signature and taps once to generate the report. With the help of AI, the app produces a formatted PDF that matches the company’s existing report template, so clients receive reports in the format they already know.
It also suggests next steps based on what the inspector found so that each report goes to the client with recommendations attached to the findings.
Finally, the app offers consistency. Even though two inspectors can describe the same issue differently, the AI keeps the language and structure consistent from one report to the next, regardless of who did the inspection.
The Results
Report generation went from several hours to a few minutes.
Inspectors now finish their work during inspection hours instead of spending their evenings typing up the day. The company has seen better work-life balance and less burnout across its inspection team. Profitability has also improved, and report quality has stayed at the standard the company’s clients expect.
The time saved has also let the company take on more projects without adding headcount. Hiring inspectors is slow and the BLS projects about 14,800 openings for construction and building inspectors each year with little or no change in total employment, which means most of those openings come from replacing people who leave.
When a Custom Inspection App Is Worth Building
Much off-the-shelf inspection software is built around a standard checklist, and that suits many teams. Consider a custom inspection app when your work doesn’t fit that model. Based on this project, these are the signs we would look for.
- Reports get reformatted before they go out. If your team takes output from a generic tool and rebuilds it to match your own template, a custom app can produce the finished report directly.
- Inspectors work without a reliable connection. Design offline capture from the start. It is hard to add to an app that assumes the inspector is online.
- Findings follow categories and priorities specific to your business. A custom app can structure action items the way your clients and your team already use them.
- You want AI in the reporting process. When it is built into your own app, it works inside your report format and follows your standards.
Work With Ghost Savvy
Ghost Savvy starts every build by working out what the business actually needs. We interview the people who own the outcome and strip the feature requests back to the actual problem. For this company, the problem was the hours inspectors spent on reports after the inspection, and we designed the app to remove that work.
When the build is done, the code and the accounts belong to you, and your team can run the app without us if you want.
If your inspectors or field teams are still writing reports after hours, tell us what you’re trying to solve. Send us a brief or a rough description of what isn’t working.
